Settings Manager: Data Grooming
In the Data Grooming menu, you can configure settings that affect both the behavior of Congree Data Grooming for the Authoring Memory and the export of extracted term candidates.
Overview of the Define Discard Reasons Area
- Input screen Add discard reason: Define a new discard reason, which can be selected in the Data Grooming Manager when discarding candidates.
- Discard reason column: All discard reasons
- Inactive discard reason: A discard reason that has already been specified, but which you cannot yet select in the Data Grooming Manager
- Active discard reason: A discard reason that you can select in the Data Grooming Manager
- Action column: Activate, deactivate, or delete specified discard reasons.
- Activate button: Activate an inactive discard reason.
- Delete: Deactivate/delete an active discard reason.
- Show deactivated discard reasons: Select this option in order to view deactivated discard reasons.
Important:
The Delete button has two basic effects. If a discard reason has not yet been specified and you click the button, the discard reason will be deleted from the list. In other words, the discard reason can no longer be specified, but remains in the list. If a discard reason has not yet been specified and you click the button, the discard reason will be deleted from the list.

Overview of the Metadata Attributes in XML Area
- Add Attribute input screen: Create a new XML attribute that Congree is to look for.
- Drop-down list: Select the type the added attribute belongs to. You can choose either String or Integer. Columns of the data type "String" contain character strings, and columns of the data type "Integer" contain integers.
- Attribute column: all attributes
- Data type column: The data type of the each attribute
- Action column: Activate, deactivate, or delete specified attributes. You can only deactivate columns that have not already been used as part of Congree Data Grooming. Columns that have not already been filled can be deleted directly.
- Show deactivated attribute columns: Select this option in order to view deactivated attributes.
Note:
Use cases for searching for attributes are:
- When certain metadata are found, new columns are created in the Data Grooming Manager.
- Metadata can be used to define which sentences can be proposed for inclusion in the Authoring Memory or even accepted automatically.
Overview of the Structure Information Area
- Save structure information for each candidate option: Select this option in order to save structure information for submitted Authoring Memory Candidates and display them in the Data Grooming Manager.
Overview of the Storing Area
- Store Authoring Memory Candidates with different numbers as separate entries in crossTank option: Select this option in order to store sentences that only differ in terms of a number as separate Authoring Memory Candidates.

Authoring Memory Candidates
- Language drop-down list: Select the language for which you would like to create the configuration for Authoring Memory Candidates.
- Configuration drop-down list: Select an existing configuration.
- Create button: Create a new configuration.
- Clone button: Clone the selected configuration.
- Delete button: Delete the selected configuration.
Collect candidates
This is where you can configure whether Congree should collect Authoring Memory Candidates and display them in the Authoring Memory Candidates Panel.
- always option: If you select this option, Congree will always collect Authoring Memory Candidates.
- never option: If you select this option, Congree will never collect Authoring Memory Candidates.
- when certain criteria are met option: If you select this option, you can then define the conditions under which Congree collects Authoring Memory Candidates.
- Option for release level: Enable the option if you only want to collect Authoring Memory Candidates from a certain release level. After enabling, you can specify the release level using the input field or the arrow buttons.
- Option for similarity: Enable the option if you only want to collect Authoring Memory Candidates that have a certain similarity to previously stored sentences. After enabling, you can select whether the similarity should be greater or less than a certain value and then specify it using the input field or the arrow buttons.
- Option of categories for the Language Check: Enable the option if you only want to collect Authoring Memory Candidates for which there are no notifications for certain notification categories for the Language Check. After enabling, you can select one or more categories.
- Option of rules for the Language Check: Enable this option if you only want to collect Authoring Memory Candidates for which there are no notifications for specific rules for the Language Check.
- Metadata selection: Activate the selection if you only want to collect Authoring Memory Candidates if certain metadata exists in the document or not.
Overview of the options 'if no notifications remain for the following rules' and 'if expected metadata values are found'
- Selection of Language Check rules
- Select... button: Open a new window in which you can make a selection from all the Congree Language Check rules available to you.
- Table of selected rules
- Category column: The notification category of a rule
- Code column: The rule ID of a rule
- Rule description column: The rule description of a rule
- Action button: Delete the rule using the x button in the table.
- Metadata selection
- Table of expected metadata
- Attribute column: the attribute that either exists in the document or not
- Values column: the attribute value
- Trigger column: Specify whether candidates should be collected if the attribute exists or if it does not exist.
- Action button: Delete attributes using the x button in the table.
Automatically approve candidates
This is where you can configure whether all proposed Authoring Memory Candidates in Congree Data Grooming should be approved immediately.
- always option: If you select this option, all proposed Authoring Memory Candidates are approved automatically.
- never option: If you select this option, all proposed Authoring Memory Candidates must be evaluated in Congree Data Grooming.
- under certain conditions option: If you select this option, you can then define the conditions under which Congree immediately approves Authoring Memory Candidates.
- Option for release level: Enable the option if you only want to Authoring Memory Candidates are only to be approved from a certain release level. After enabling, you can specify the release level using the input field or the arrow buttons.
- Option for similarity: Enable this option if only Authoring Memory Candidates with a certain similarity to already stored sentences should be approved automatically. After enabling, you can select whether the similarity should be greater or less than a certain value and then specify it using the input field or the arrow buttons.
